Managing Student's Electronic Profiles at Universities

Abstract:
Objective
This paper aims to describe the process of building electronic archive of students’ profiles at universities، in order to overcome difficulties resulting from keeping physical archives.
Methodology
In the present study، qualitative method and interviews were used to gather research data. Fifteen interviews were done with experts of National Archive of Iran، and stakeholders of electronic archives in Tehran University.
Findings
To establish digital archives of students’ profiles، it is essential to assess different requirements of departments that receive students’ documents for their processes. Also it is necessary to produce electronic input by using scanned or digital documents. Originality/ Value: This study suggests ten basic stages to build electronic archive of students’ profiles in universities، including: feasibility studies of establishing archives، preliminary studies about the nature of archives، interviewing stakeholders، Extracting information and documents required by every section، Identifying common required documents among university sections and providing a specialized thesaurus for labeling documents.
